Four ways of using it
A mailbox does not serve the same purpose from one job to the next. Here are the four people at Les Ateliers du Vent d'Ouest, and what each of them really wants from it. Find yourself in this table: it will tell you which lessons to read first.
| Who | Role | What they do with it |
|---|---|---|
| Camille Perrot | Management | Follows sales correspondence, shares her calendar, delegates her mailbox while on leave. |
| Farida Benali | Administration and invoicing | Files supplier mail into folders and filters, finds last year's invoice in thirty seconds. |
| Yanis Lefebvre | Workshop and production | Checks the site calendar on his phone, sends photographs straight from the job. |
| Tom Riquier | Apprentice | Learns to write a clean message, to attach a heavy drawing, and not to reply to everyone by mistake. |
No technical skill required
If you can open a website, you can use this tool. There is nothing to install, nothing to configure, and no setting you can break from your own screen. The settings that commit the company are Cybelia's business.
You cannot break the tool. A deleted message goes to the bin and can be brought back. A misfiled folder can be moved. An unfortunate setting can be put back as it was. Go ahead and try: that is how you learn.
The trades that live in it all day
A professional mailbox is not a comfort: it is where orders, invoices, summonses and evidence arrive. Here are the activities where it weighs the most.
| You are | What you come here for |
|---|---|
| Management and directors | A shared diary that does not contradict itself, a mailbox delegated during leave, and exchanges you can find years later. |
| Administration, accounting, invoicing | Supplier mail filed by folders and filters, and last year's invoice found in thirty seconds. |
| Sales and travelling staff | The same mail on the phone, the tablet and the desk, and a quote sent from the car with nothing to reinstall. |
| Workshop, sites, technicians | The diary of jobs and photos sent from the field, on a data allowance that does not blow up. |
| Reception, secretarial, assistants | Several mailboxes watched at once, standard replies ready to go, and a message that does not get lost when someone is away. |
| Human resources | Applications and personal documents that must not circulate, with access rights set case by case. |
| Regulated professions, healthcare, legal | Correspondence covered by confidentiality, hosted in France, and proof of sending that stands up in front of a third party. |
| Charities and local authorities | Addresses shared between volunteers or staff, mailing lists, and continuity when people change. |
| Organisations with no IT person | Nothing to install, nothing to back up yourself, and someone to call when a message does not arrive. |
In closing
This course is for everyone who receives work mail, whatever their trade and whatever their level. Take the line that looks like you: it will tell you which lessons to read first. The others will stay there for the day you need them.
