What does not need an email
"Can you come to the workshop?" does not deserve a subject line, a polite opening and a signature. The speech-bubble icon opens the team messenger: short exchanges between colleagues, in the same window as the rest.
The New button opens a conversation with a colleague whose address you type. For an exchange between three or more, you create a group: a title, the participants, and the thread is open. The workshop keeps one per job in progress, closed on delivery.
What you can do there
You reply to a particular message, react with an emoji, forward a message into another conversation. The paperclip attaches a file, from the computer or from the file space. A correction or a deletion is possible in the minutes after sending, not beyond.
The magnifier, in a conversation's header, searches the whole history of the thread: that is how you find the measurement someone gave out loud three weeks earlier.
Tasks
The list icon opens your tasks. New, a title, a priority, possibly a reminder and a few details: the task joins the list. A right click lets you change it, mark it complete, or delete it.
It is made for the small things that have no file of their own: call a supplier back, order a blade, chase up a quote.
Email for what leaves a trace, team message for what is pressing. An agreement on a price is always confirmed by email: that is what will count six months from now.
In closing
Not everything deserves an email. Short exchanges between colleagues are better off elsewhere, which leaves the inbox for what actually commits the company.
