Usage-based billing (pallet, parcel, m³, unit), client portal, AI assistance for slotting and optimisation.
20 modules, one playbook
Le méta-module cybelia_wms_playbook installs the whole
suite. Each module stays independent — you can enable only those that concern you
(B2B without 3PL, e-commerce without voice picking, etc.).
Receiving & dock scheduling
Truck appointment booking, quality control, smart putaway — from dock to final location.
Truck appointments & dock management
Your suppliers and carriers book their dock slot self-service. You manage your docks via visual planning.
- Self-service fournisseur Your suppliers access a dedicated portal to book their delivery slot. They see available slots and confirm in a few clicks — no more phone calls to schedule a delivery. E.g. a carrier books their dock 3 slot for Tuesday 2 pm without calling the logistics cell.
- OptiDock — optimisation automatique The OptiDock algorithm distributes appointments across docks considering constraints (estimated unloading time, goods type, team skills, dock height). The number of appointments handled per day rises without adding resources.
- SLA RDV honorés en KPI The ratio (appointments honoured on time / total appointments) is calculated in real time. You identify systematically late carriers and can renegotiate windows.
- Alertes de saturation If forecast load exceeds capacity, the system alerts before congestion. You can shift appointments, mobilise an additional dock or alert carriers.
Quality control & putaway
From unloading to final putaway, each step is traced with possible discrepancies and supporting photos.
- Contrôle quantitatif & qualitatif On receipt, the operator scans the references received and confirms quantities. Discrepancies are flagged immediately (missing, surplus, non-ordered references). A photo can be attached in case of dispute.
- Putaway intelligent The system suggests the optimal putaway location: proximity to frequently associated references, ABC class, product constraints (temperature, stackability, hazardous). The operator validates or adjusts. E.g. a class-A reference often picked is directed to an easy-access zone, not to the back of the last rack.
- Saisie des lots & DLC For products with traceability (food, medical, cosmetic), batch and expiry are entered at receipt. This data then feeds one-up / one-down traceability and automatic FEFO at picking.
- Litiges fournisseur tracés Any discrepancy between order, supplier delivery note and actual receipt is logged as a dispute. The resolution (credit note, goodwill, re-delivery) is tracked until closure.
Storage & traceability
Emplacements dynamiques, lots et numéros de série, traçabilité réglementaire complète.
Dynamic locations & ABC classes
Each location is typed, its turnover measured, its assignment adjusted to minimise aisle walking.
- Typage par emplacement Each location carries its characteristics: height, max load, type (pallet / bin / mezzanine), temperature, forklift access, target class (A / B / C). The system only stores compatible products.
- Classes ABC par rotation The system analyses the picking frequency of each reference and automatically classifies it as A (high turnover), B or C. Class A is placed in the most accessible zones. E.g. a reference upgraded to class A → suggestion to relocate to the picker's "golden zone".
- Règles FEFO / LIFO / FIFO Per product category, you set the destocking rule: FEFO (First Expired First Out — food, medical), FIFO (first in first out — industrial components), LIFO. The system applies it automatically at picking.
- Inventaires cycliques Rather than a full annual stocktake, you count one zone each week. Inventory accuracy is measured continuously, discrepancies corrected without stopping operations.
One-up / one-down traceability
Compliant with European regulation EC 178/2002 for food — and applicable to any sector subject to traceability (medical, electronics, cosmetic).
- Lots amont (one-up) For each stored batch, you instantly trace back to the original supplier batch, the entry date and the associated receipt note. Essential in case of product recall or quality dispute.
- Lots aval (one-down) Symmetrically, for each shipped batch, you identify all clients who received it, the delivery notes, the quantities. In a recall, the list of clients to notify is generated in seconds. E.g. a supplier batch flagged non-conforming → downstream search in 5 seconds: 14 clients impacted, 78 parcels to recall.
- Numéros de série individuels For serialised products (electronics, high value), each unit is tracked individually. During after-sales, warranty is verified by serial number in seconds.
- FEFO automatique For perishable products, picking automatically proposes the batch whose use-by date is closest (but still valid). You no longer create "expired dormants" at the back of the rack.
Order picking — 4 methods, one cockpit
The picking mode is chosen per wave based on the orders to prepare. The 4 WMS industry standards are supported.
Wave
Groups N orders to optimise aisle walking. Ideal for high-volume e-commerce.
e-commerce volumeBatch
1 picker, N orders, picking per product with final allocation. Ideal mono-reference.
mono-réfCluster
1 picker with multi-bin trolley, 1 bin per customer order. Ideal multi-reference small volumes.
multi-réf petitsVoice picking
Casque + reconnaissance vocale. Mains et yeux libres — gain de productivité significatif selon les retours sectoriels.
mains libresPicking cockpit
The team leader steers the order queue, chooses the optimal mode for each wave and tracks progress in real time.
- Choix du mode par vague For each wave, the team leader selects the most suitable picking mode: wave for e-commerce peaks, cluster for multi-line B2B orders, batch for large single-line items, voice for high-turnover zones.
- Affectation par compétence Pickers have recorded skills: voice OK, forklift driving, refrigerated, hazardous. The system only proposes compatible tasks to each operator.
- Real-time operator tracking The dashboard shows for each operator their progress (X picks done, Y remaining), instant productivity (picks/hour) and pace versus team average. Ex : 4 préparateurs en simultané, chacun avec sa vague, productivité globale 124 picks/h affichée en direct.
- Bascule entre modes If a mode no longer fits (urgency, carrier delay, priority order), you switch the current wave to another mode without losing the work already done.
Voice picking — focus
Native Cybelia Cloud connector for voice picking headsets. Operators work hands- and eyes-free.
- Casque léger + reconnaissance vocale The operator receives instructions in their headset ("location A-12-3, take 5 units") and confirms aloud the check code shown at the location. No screen to look at, no scanner to handle.
- Productivité opérateur améliorée According to published industry feedback, voice picking brings a significant productivity gain (around 25 to 30 %) compared to classic paper picking, with a notable reduction in errors. Actual results depend on context (warehouse type, operator training).
- Multi-langues The system handles multiple instruction languages (Spanish, French, English, Portuguese, Arabic…) — useful in warehouses with multicultural teams.
- No new ergonomics for pickers No tablet to carry, no fingers to free up for scanning. Forklifts stay operable, rhythm settles in naturally. Initial training generally takes 2 to 3 days per operator.
Shipping, labels & EDI
Bons de transport, étiquettes transporteurs, génération CMR, échanges EDI EDIFACT with clients.
Carrier labels
Direct generation of major carrier labels — from the shipping screen.
- Étiquettes multi-transporteurs Cybelia Cloud directly generates labels in the format expected by each carrier. The tracking number is automatically retrieved and stored on the customer order. E.g. 15 orders shipped in 20 minutes — one label generated per order, tracking communicated to the customer.
- Choix transporteur automatisé Based on weight, volume, destination and requested lead time, the system proposes the most relevant carrier (often the cheapest). You validate or change in one click.
- SSCC & GS1-128 For pallet shipments, automatic generation of the SSCC code (Serial Shipping Container Code) and the GS1-128 logistics label embedding batch, quantity and expiry.
- CMR PDF auto-généré For international road transport, the CMR (Convention on the Contract for the International Carriage of Goods by Road) is generated as PDF with all mandatory mentions.
EDI EDIFACT with clients
Structured electronic exchanges (orders, ASNs, invoices) with your clients, distributors or industrial customers.
- Messages EDIFACT supportés Receiving ORDERS, sending DESADV (advanced shipping notice / ASN), INVOIC (invoice), DELFOR (forecast)… Standard commerce and logistics messages are natively recognised.
- Cartographie par partenaire Each client has their own EDI specifics (optional segments, internal codes, reference structure). The module manages per-partner mappings to adapt without redevelopment.
- Workflow d'erreurs If an EDI message is malformed or rejected by the partner, the error is raised with the problem details (segment, field, value). You correct and resend without external technical intervention.
- Audit complet All EDI flows are logged: message received/sent, timestamp, status, raw content. In case of dispute with a client, the trace is viewable.
Mobile PWA & barcodes
Web application installable on Android and iOS — native scan by camera or Bluetooth scanner, offline possible.
PWA — Progressive Web App
No application to publish to stores, no version to maintain separately. The same URL works in browser and installed as an app.
- Installation depuis le navigateur The operator opens the Cybelia Cloud WMS URL on their smartphone, adds to home screen — the app is installed. Automatic update on each server evolution, without going through a store.
- Mode hors-ligne (offline-first) The app works in areas with no network (poorly covered warehouse, cold room). Actions are queued locally and synchronised automatically when signal returns. E.g. 200 picks done in a cold room without wifi → full sync in 3 seconds on return to covered zone.
- Cross-plateforme Android & iOS A single app that runs on all modern smartphones and tablets — no version to differentiate, no double maintenance. Immediate hardware savings.
- Smartphones standards ou terminaux durcis The app runs on a consumer smartphone (economical equipment) or rugged industrial terminal (shock-resistant, long battery). You choose based on your context.
Barcodes & scanners
Native scan by smartphone camera or via a professional Bluetooth scanner — your choice based on expected throughput.
- Scan caméra natif The smartphone camera reads EAN-13, EAN-128, GS1-128, QR, DataMatrix codes. Sufficient for most light use cases (receiving, checks, occasional inventory).
- Douchettes Bluetooth pour le débit For intensive picking (hundreds of scans per hour), a dedicated Bluetooth scanner connects to the smartphone. Scanning is ultra-fast and the operator keeps the phone in their pocket.
- Décodage GS1-128 natif The system automatically decodes GS1-128 codes embedding multiple information (reference + batch + expiry + quantity). A single scan captures all necessary data. E.g. scan of a food pallet → reference, batch, expiry and quantity captured in one gesture.
3PL — usage-based billing & client portal
For logistics providers that store and ship on behalf of third parties: detailed billing and transparent client portal.
Usage-based 3PL billing
Your tariffs are structured per unit of measure and per client. The monthly invoice is generated automatically from actual activities.
- Grilles tarifaires par donneur d'ordre Each client has its grid: price per m³ stored per month, price per pallet in/out, price per prepared parcel, price per pick (unit), price per label. You manage pricing diversity without spreadsheets.
- Automatic activity counting The WMS tracks for each client all monthly activities: pallet inflows, outflows, unit picks, average stored volumes, labels printed. No manual entry, no risk of oversight. E.g. one client = 247 pallets in, 231 out, 1 432 unit picks, 84 m³ stored on average over the month → detailed invoice generated automatically.
- Facture détaillée & ventilable The monthly invoice details line by line the priced activities. The client can analyse their logistics cost structure and identify optimisation levers.
- Forfaits & minimums facturables You manage minimum monthly flat fees, sliding-scale tiers, preparation flat fees by bracket, overtime surcharges (Saturday, public holidays).
Client portal
Your client accesses self-service to their stocks, shipments, invoices and KPIs.
- Visualisation stock temps réel The client sees their stock in real time by reference, batch, expiry, location. No more emailing your teams "how many of SKU XYZ do I have in stock?".
- Order & shipment tracking Each order placed by the client is tracked in the portal: in preparation, shipped, delivered. Carrier tracking numbers are accessible without intervention.
- Téléchargement de factures & documents Monthly invoices, delivery notes, CMRs, storage certificates — everything downloadable as PDF from the portal. Reduced administrative load on the provider side.
- KPI partagés The client sees their logistics KPIs: OTIF, return rate, picking accuracy, average lead time. The provider / client relationship becomes more transparent.
AI assistance for slotting & steering
The Cybelia Cloud AI suggests warehouse organisation and answers your operational questions in natural language.
Slotting suggestions
From pick history and reference associations, the AI proposes a location reorganisation to reduce walking distance.
- Analyse des associations de picks The AI identifies references frequently picked together in the same wave. It proposes to bring them physically closer to reduce aisle walking. E.g. references A and B associated in 87 % of orders → suggestion to relocate B to 2 locations away from A.
- Reclassement ABC dynamique The AI tracks seasonal trends and proposes a periodic ABC re-classification. References rising to class A are moved to easy-access zones, downgraded ones free up the best spots.
- Validation humaine systématique L'IA propose, le chef d'entrepôt valide. No reorganisation is applied without human confirmation. Suggested changes are quantified as estimated productivity gain.
Cybele — conversational WMS assistance
Cybele, the Cybelia Cloud AI assistant, answers your questions in natural language about warehouse state and steering.
- Questions opérationnelles en European You ask Cybele: "how many late orders this morning?" or "what's my OTIF rate over the last 7 days?" — it queries the data and answers in seconds.
- Suggestion de modules WMS At project start, Cybele can analyse your need (B2B, e-commerce, 3PL, food…) and suggest the relevant subset of WMS modules to enable as a priority.
- IA Cybelia Cloud souveraine par défaut AI assistance relies by default on the sovereign Cybelia Cloud model hosted in the EU. Claude (Anthropic) option available for cases requiring maximum reasoning power.

FAQs
Questions logistics managers ask before choosing their WMS.
Quels types d'entrepôts peuvent utiliser Cybelia Cloud WMS ?
The Cybelia Cloud WMS suite is designed to cover a wide variety of contexts: entrepôts B2B (industrie, négoce, distribution), e-commerce B2C (volumes élevés, picking optimisé), prestataires 3PL (multi-donneurs d'ordre, facturation à l'usage, portail client), fulfillment marketplace (intégration EDI), agroalimentaire (traçabilité CE 178/2002, FEFO), médical et cosmétique (batches, expiry, serial numbers). Each sector activates the modules that concern it.
Le voice picking apporte-t-il vraiment un gain de productivité ?
Les retours sectoriels publiés rapportent généralement un gain de l'ordre de 25 à 30 % on operator productivity compared to paper picking, with a réduction notable des erreurs (hands and eyes free allow better verification of location and product). Le gain effectif dépend du contexte : pick typology, warehouse structure, operator training quality, audio signal. Cybelia Cloud supports go-live to calibrate expectations and measure real impact on your activity.
Should I buy rugged terminals or are smartphones enough?
Les deux fonctionnent — l'app PWA Cybelia Cloud WMS est cross-plateforme. Smartphones grand public : economical equipment, sufficient for mild contexts (dry warehouses, ambient temperatures, moderate shock level). Terminaux industriels durcis : drop resistance, wide temperature range, long battery life, ultra-fast scan — recommended for intensive voice picking, refrigerated, or high-throughput environments. The choice depends on context and budget.
Comment fonctionne la facturation 3PL à l'usage ?
You define your pricing grid per client: price per m³ stored per month, price per pallet in and per pallet out, price per parcel prepared, price per unit pick, price per label printed. Cybelia Cloud WMS suit toutes les activités automatically (no manual entry). At month end, the detailed invoice is generated line by line. The client sees the breakdown in their client portal.
La traçabilité one-up / one-down est-elle conforme CE 178/2002 ?
Oui. Le module cybelia_wms_traceability implements the mandatory traceability
required by European regulation 178/2002 for food safety:
for each stored batch, identification of the source supplier (one-up);
for each shipped batch, identification of recipient clients (one-down).
In case of a product recall, the list of clients to notify is generated in seconds.
The same logic applies to medical, cosmetic and electronics sectors subject to
similar obligations.
Quels transporteurs sont connectés en natif ?
Cybelia Cloud WMS gère nativement les principaux transporteurs European et européens : Chronopost, Colissimo, DPD, GLS, UPS, DHL, TNT, Geodis, and others. Labels are generated in the format expected by each carrier, the tracking number is retrieved automatically and stored on the order. Other connectors can be added as needed — the Cybelia Cloud team supports tailored integration.
L'EDI EDIFACT supporte quels messages et quels partenaires ?
allows adapting specifics (optional segments, internal codes) without
redevelopment. Flows are logged and auditable.
How is the mobile PWA handled in offline zones?
La PWA Cybelia Cloud WMS est offline-first : it works in areas without wifi/4G (poorly covered warehouses, cold rooms, basements). Operator actions (picks, scans, stock movements) are queued locally in the browser. Au retour du signal, la synchronisation est automatique in seconds. The operator never loses their work, and doesn't have to worry about network coverage.
How long to deploy the WMS suite on a warehouse?
Il faut distinguer l'installation technique et la mise en
exploitation. L'installation du playbook cybelia_wms_playbook
(modules, user groups, scheduled jobs) is done in a few minutes.
The mise en exploitation — warehouse modelling (zones, racks,
locations), product catalogue and current locations import, FEFO/ABC rules
configuration, picker training on voice picking and PWA, 3PL pricing-grid
calibration — then runs over plusieurs semaines depending on
warehouse size and activity complexity. The Cybelia Cloud team supports you
with a structured plan.
Cybelia Cloud WMS est-il hosted in the EU ?
Yes. Cybelia Cloud WMS is hosted on servers physiquement situés en EU. Your stock data, orders and customer data don't leave the EU territory. Automatic daily backups, full GDPR compliance. For 3PL providers managing stock on behalf of sensitive clients (defence, medical, high-end cosmetics), this sovereignty is often a contractual prerequisite.

Spreadsheets & stock software, standalone WMS, or integrated Cybelia Cloud WMS?
Three ways to run a warehouse today. Here is what it changes in practice on productivity, compliance and data quality.
| Tableurs & logiciels stock basiques | vs | WMS standalone connecté à l'ERP | vs | Cybelia Cloud WMS intégré |
|---|---|---|---|---|
| ✗Stocks tracked in Excel/Access or in the basic ERP stock module. No notion of picking, location, ABC class. | ~Specialised WMS with locations, but database separate from the ERP. Fragile connector to maintain. | ✓Native Cybelia Cloud WMS — same database as sales, purchasing, invoicing. No synchronisation to maintain. | ||
| ✗Préparation papier ou mobile basique. Pas de voice picking, pas de cluster, pas de batch optimisé. | ~Modes de picking avancés disponibles, mais souvent en modules payants additionnels. | ✓The 4 modes (wave, batch, cluster, voice) included. Choice per wave based on orders. | ||
| ✗Aucune traçabilité one-up / one-down — non conforme CE 178/2002 pour l'agroalimentaire. | ~Traceability possible but often partial or to be configured project by project. | ✓Native one-up / one-down traceability on batches and serial numbers, compliant by default. | ||
| ✗Manual generation of carrier labels — carrier site open in parallel. | ~Connecteurs transporteurs disponibles, parfois en option payante par opérateur. | ✓Major carrier labels generated from the shipping screen. Included. | ||
| ✗Pas de portail client donneur d'ordre — gestion des demandes par mail. | ~Portail souvent en module premium à activer séparément. | ✓Client portal 3PL natif — stocks, expéditions, factures, KPI en self-service. | ||
| ✗KPIs calculated manually from Excel exports — not real time. | ~Dashboard available but often siloed from the rest of the company's activity. | ✓OTIF, picks/heure, occupation, précision, € par colis, taux de retour — calculés en continu. | ||
| ✗Hosting and GDPR compliance at your expense. | ~Hébergement variable selon l'éditeur — souvent étranger. | ✓EU hosting, conformité RGPD native, sauvegardes quotidiennes. |
FAQs
Questions logistics managers ask before choosing their WMS.
Quels types d'entrepôts peuvent utiliser Cybelia Cloud WMS ?
The Cybelia Cloud WMS suite is designed to cover a wide variety of contexts: entrepôts B2B (industrie, négoce, distribution), e-commerce B2C (volumes élevés, picking optimisé), prestataires 3PL (multi-donneurs d'ordre, facturation à l'usage, portail client), fulfillment marketplace (intégration EDI), agroalimentaire (traçabilité CE 178/2002, FEFO), médical et cosmétique (batches, expiry, serial numbers). Each sector activates the modules that concern it.
Le voice picking apporte-t-il vraiment un gain de productivité ?
Les retours sectoriels publiés rapportent généralement un gain de l'ordre de 25 à 30 % on operator productivity compared to paper picking, with a réduction notable des erreurs (hands and eyes free allow better verification of location and product). Le gain effectif dépend du contexte : pick typology, warehouse structure, operator training quality, audio signal. Cybelia Cloud supports go-live to calibrate expectations and measure real impact on your activity.
Should I buy rugged terminals or are smartphones enough?
Les deux fonctionnent — l'app PWA Cybelia Cloud WMS est cross-plateforme. Smartphones grand public : economical equipment, sufficient for mild contexts (dry warehouses, ambient temperatures, moderate shock level). Terminaux industriels durcis : drop resistance, wide temperature range, long battery life, ultra-fast scan — recommended for intensive voice picking, refrigerated, or high-throughput environments. The choice depends on context and budget.
Comment fonctionne la facturation 3PL à l'usage ?
You define your pricing grid per client: price per m³ stored per month, price per pallet in and per pallet out, price per parcel prepared, price per unit pick, price per label printed. Cybelia Cloud WMS suit toutes les activités automatically (no manual entry). At month end, the detailed invoice is generated line by line. The client sees the breakdown in their client portal.
La traçabilité one-up / one-down est-elle conforme CE 178/2002 ?
Oui. Le module cybelia_wms_traceability implements the mandatory traceability
required by European regulation 178/2002 for food safety:
for each stored batch, identification of the source supplier (one-up);
for each shipped batch, identification of recipient clients (one-down).
